Privacy Notice for Candidates pursuant to Article 13 of EU Regulation 679/2016

Dear Candidate,
Henoto S.p.A., acting as Data Controller, wishes to inform you about the methods and purposes of the processing of your personal data in relation to your application.

1. Data Controller
Henoto S.p.A. (hereinafter also referred to in abbreviated form as “HENOTO”), with registered office in Bologna (BO), Via A. 2. Types of Data Processed
The processing will concern the personal data contained in your Curriculum Vitae and any cover letter, including:
• Identification and contact data (name, surname, address, e-mail, telephone number).
• Data relating to your educational and professional background.
• “Special categories” of data (e.g. membership in protected categories), where voluntarily provided by you or necessary for evaluating your profile in compliance with applicable laws.

3. Purpose and Legal Basis of Processing
Your data will be processed for the following purposes:
• Performance of pre-contractual measures: evaluation of your professional profile for the establishment of an employment or collaboration relationship (Art. 6(1)(b), GDPR).
• Compliance with legal obligations: for example, obligations relating to social security or the employment of protected categories (Art. 6(1)(c), GDPR).

4. Processing Methods and Data Retention
The processing will be carried out using electronic and paper-based tools, ensuring maximum security and confidentiality.
Your data will be retained for a period not exceeding 36 months from the date of receipt or the latest update. This retention period is justified by the Company’s ongoing need to recruit personnel (including specialized staff) and to allow us to evaluate your profile for future open positions as well.
At the end of the retention period, the data will be deleted or anonymized.

5. Scope of Data Disclosure
Your data will not be disclosed publicly, but may be communicated to:
• Authorized employees and collaborators of the Company (HR staff, department managers).
• External recruitment agencies or labor consultants (appointed as Data Processors).
• Public authorities where required by law.

6. Rights of the Data Subject

a) Your Rights
Please note that you have the right:
• To know at any time which data concerning you are being processed, how they were obtained, the purposes and methods of processing, the logic applied in case of electronic processing, retention methods, the identity of the Data Controller, and the entities or categories of entities to whom the personal data may be communicated or who may become aware of them.
• To obtain the updating of your data, including rectification or integration where in your interest.
• To obtain the deletion of your data if they are no longer necessary, in case of withdrawal of consent, or in the event of a legitimate objection.
• To restriction of processing in the cases provided for by Article 18 GDPR.
• To data portability (meaning the right to receive your data in a structured, commonly used, and machine-readable format), without prejudice to the Company’s right of retention referred to above.
• To object to processing in the cases provided for by Article 21 GDPR.
However, please note that the Company may lawfully retain personal data where necessary to comply with a legal obligation or to establish, exercise, or defend legal claims.

b) Exercising Your Rights
You may exercise the rights referred to above by sending a written communication to:

Please note that the Data Controller will respond to your request within 30 days and, if the request is granted, will also handle the necessary communications with third-party data processors holding the employee’s data.

c) Deletion from Archives
If your request is accepted, the Data Controller undertakes to delete the data also from any archives, allowing remote verification by the user.
If you wish to lodge a complaint regarding the processing of your data or the response to your requests, you have the right to submit a complaint directly to the competent Supervisory Authority.
